Every conference I walk into these days has an AI track. Every vendor pitch I sit through now opens with "powered by AI." And every university leadership team I talk to has some version of the same question: Are we supposed to be doing more with AI, or is this just noise we're supposed to nod along to?

After 17 years of building marketing and admissions systems — and the last several years specifically inside AI-driven admissions workflows through Campuswalkin — I've sat on both sides of this conversation. I've seen AI genuinely rescue an admissions cycle that was falling apart. And I've seen institutions spend six figures on an AI tool that changed nothing except their software budget.

So let's separate the two, honestly.

The Hype: What Everyone's Selling

Walk any EdTech expo floor and you'll hear the same three promises on repeat:

"AI will predict which leads will enroll." "AI will personalize every student's journey automatically." "AI will replace your counseling team's manual follow-ups."

These pitches aren't lies, exactly. The underlying technology can do versions of all three. But the way they're sold — as a plug-and-play fix you install on top of a broken funnel — is where the hype outruns reality.

I've watched universities buy a predictive-scoring tool, plug it into a CRM with messy, duplicate, half-filled lead data, and expect clean predictions to come out the other end. That's not how it works. AI doesn't fix bad inputs. It amplifies them. A model trained on inconsistent data will give you confident, well-formatted, completely wrong answers — which is arguably worse than no prediction at all, because it feels authoritative.

The Real Results: Where AI Actually Moves the Needle

Here's what I've seen genuinely work, across the 100+ education programs I've been involved in marketing over the years.

1. Response time, not response content. The single biggest lever in admissions has always been speed — how fast a query gets a first response. AI-driven chat and auto-triage systems don't need to be clever to be valuable here; they just need to be fast and consistent. Cutting first-response time from hours to minutes has moved enrollment numbers more reliably than almost any "smart" feature I've tested.

2. Surfacing which leads a counselor should call first — not deciding who to ignore. The predictive scoring works best as a prioritization layer for a human team, not a replacement for one. When counselors know which 20% of their pipeline needs a call today, conversion improves. When institutions try to use scores to auto-filter out "low intent" leads entirely, they usually end up quietly killing enrollments that just needed a different kind of nudge.

3. Pattern-spotting across a funnel too large for any one person to hold in their head. This is the quiet, unglamorous win. AI is very good at noticing that applicants from a particular city, coming through a particular channel, in a particular week, are dropping off at the document-upload stage. No dashboard, no headline feature — just a pattern a human team would take weeks to notice on their own, surfaced in days.

The Actual Divide

The institutions that get real results from AI in admissions aren't the ones with the most advanced tools. They're the ones that did the boring work first: clean data, a clearly mapped funnel, and a team that understands what "good" looks like at each stage. AI on top of that foundation compounds it. AI on top of chaos just produces faster, better-dressed chaos.

If there's one thing I'd tell any university leadership team evaluating an AI admissions tool, it's this: ask the vendor what happens to their model's accuracy when the input data is messy — because it will be. If they don't have a real answer, you've found your answer.

AI in admissions isn't hype. But it isn't magic either. It's a multiplier — and multipliers are only as good as what you hand them to multiply.
